The Middle Office Operations Analyst oversees the operational management of Institutional Discretionary (OCIO/DISC) accounts, ensuring seamless execution of investment transitions, trade processing, and system setup in alignment with firm and consultant directives. It also facilitates documentation control, supports client onboarding and compliance, maintains process integrity, and serves as a key internal resource for transition-related inquiries and cash flow coordination.
Responsibilities:
Primary:
- Manage operational aspects of OCIO/DISC accounts, including investment vehicle transitions, redemptions, and portfolio realignments.
- Coordinate internal and external documentation and signoff processes using the firm’s authorized signer list for account managers, limited partnerships, hedge funds, and private equity investments.
- Establish and maintain internal trading systems and external connectivity with investment firms and custodians for onboarding and service transitions.
- Execute manual trades across custodians in accordance with firm and consultant recommendations, where Fiducient holds trading authority.
- Develop and manage detailed execution timelines for approved portfolio changes under the guidance of senior operations leadership.
- Review and approve peer documentation for accuracy, policy compliance, and adherence to custodial instructions.
- Maintain a working knowledge of the firm’s investment philosophy and portfolio construction principles.
- Serve as a key internal resource for inquiries related to pre- and post-transition events.
- Ensure data integrity and documentation accuracy to support a controlled investment process for OCIO/DISC clients.
- Support Middle Office Associates and Institutional Client Service Associates with onboarding tasks, including compliance, account setup, asset transfers, investment paperwork, and portfolio transitions.
- Maintain comprehensive records of client activity in accordance with departmental policies and procedures.
- Uphold service standards through proactive communication, timely follow-up, issue escalation, and resolution.
- Initiate and coordinate cash flow transactions between affiliated parties, including investment managers and internal movements, aligned with approved portfolio updates.
Backup: - Serve as a backup for RedBlack trade order processing across both Institutional and The Wealth Office platforms, ensuring continuity and accuracy in trade execution.
- Perform daily reconciliation of trading activity for Institutional and Wealth Office accounts to validate transaction integrity and resolve discrepancies.
- Under the guidance of the Senior Operations Analyst and/or Director, assist as a backup in trade error resolution, including reporting, escalation, and follow-up procedures as needed.
Required Education, Professional & Technical Experience:
- Bachelor’s degree required with a preferred concentration in Business, or related field
- Minimum 3 years of investment-related operational experience at an investment manager, hedge fund, or custodian bank (new client onboarding/transitions experience is a plus)
- General knowledge of mutual funds, investment managers, and brokerage and/or bank account administrative procedures preferred
- Moderate to Advanced computer skills, including excellent working knowledge of Microsoft Suite applications (Outlook, Excel, PowerPoint)
- Previous CRM, Adobe, and custodial portal experience, particularly Charles Schwab and Fidelity is a plus

Work Environment & Travel Requirements:
- This role may travel up to 5% of the time for training and or business/events.
- This role offers a hybrid work model with three days in one of our professional office environments and two days remotely.

The base salary range for this position is $77,000-$97,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
